Many enterprises, organizations, governments and militaries are all facing a problem: how to protect their confidential documents, especially how to prevent them from being unauthorized copied or redistributed is a serious trouble as lacking of mechanism to forbid this action at present. In this paper we propose a Secure Confidential Document Model (SCDM). The document under the proposed model is divided into logical blocks based on the content, and a lot of useful information is also included in this model. So it can be easily and flexibly controlled in access and distribution no matter what format the document is. Moreover a record is also included in the proposed model so it will be easy to trace the confidential documents. A case of its application in confidential documents management system is introduced to illustrate the key ideas of the proposed document model.

A new approach for form document representation using the maximal grid of its frameset is presented. Using image processing techniques, a scanned form is transformed into a frameset composed of a number of cells. The maximal grid is the grid that encompasses all the horizontal and vertical lines in the form and can be easily generated from the cell coordinates. The number of cells from the original frameset, included in each of the cells created by the maximal grid, is then calculated. Those numbers are added for each row and column generating an array representation for the frameset. A novel algorithm for similarity matching of document framesets based on their maximal grid representations is introduced. The algorithm is robust to image noise and to line breaks, which makes it applicable to poor quality scanned documents. The matching algorithm renders the similarity between two forms as a value between 0 and 1. Thus, it may be used to rank the forms in a database according to their similarity to a query form. Several experiments were performed in order to demonstrate the accuracy and the efficiency of the proposed approach.

But the vast array of options for electronic displays is so much broader than the options available on paper that the basic nature of a document and how it is created is changing. It is not simply providing an electronic analog to paper documents that is happening but we are positioned to take more advantage of the electronic components becoming available and their interconnectivity using networks like the Internet to provide more useful and pertinent information in the form of modern intelligent documents. We discuss the opportunities and possible ways to take advantage of these opportunities to move documents into a new realm.

Knowledge and coordination work is hard to observe. A focus on the more tangible aspects of this work, namely documents, provides a useful lens into the work practices of organizational members in general, and those working in distributed and virtual teams in particular. Studying documents in work allows us to position people's immediate activities and situated routines in their larger social and organizational context. As documents carry institutional structures and point to both past and future activities they open a window to larger organizational practices.

Paper documents are still an integral component of our everyday working lives, and are likely to remain so for the foreseeable future. Fortunately, advances in electronic technology in recent years have made it possible to develop digital systems that better integrate paper and digital document management. However, as far as we are aware, none of these integrated document management systems have been evaluated to demonstrate whether the users would indeed find them valuable for managing paper documents. In this paper we present a user study of one such system, called SOPHYA, that provides a means of linking the management of real world document artefacts (e.g., folders) with their electronic counterparts, so that document management activities such as locating, retrieving, and filing documents can be better supported, especially for large collections. The study is in the form of a laboratory-based evaluation, in which participants with experience in document management used the system to perform several tasks, such as locating and retrieving folders, and provided feedback based on their own experience. The results of this study show that users are able to apply software functionality they use for storage and retrieval of electronic documents to effectively manage paper documents as well. Our study has also identified a range of other potential benefits that the users envisage for such a technology in their diverse work environments.
